Layout & Checklist

For registration day, use a facility that can accommodate space and utility needs and with sufficient available parking. See Figure 1 herein for suggested layout.

The following layouts are provided to assist you in arranging stations for registration day. The simple sequence lists stations that are mandatory. The comprehensive list includes several optional stations. Each region will have to tailor its layout according to the facility size and other arrangements. The list is not exclusive of other ideas that may make registration day more effective for your region.

Check-In Station (#1)

Use two tables if possible - one for new players and another for returning players. This will speed up the process for returning players.



Staging Station (mandatory) (#2)

Staffed by board members roaming among registrants

Used by registrants to fill out forms - Provide tables and chairs.

Provide local telephone directories with names, addresses, and phone numbers required to complete the registration forms.



Uniform Sizing Station (#3)

Staffed by the uniform coordinator and key volunteers

Display various sizes of uniforms

Size player's shirts and shorts (be sure to upgrade to one size larger if season is a few months away)



Speed Lane Station (#3a)

Not shown in Figure #1

For players/volunteers who pre-registered and need to:

  • Make a payment and sign forms

  • Sign up for a position as a volunteer

This station could also be used for returning volunteers.

Assign a registration worker to provide a personalized but quick registration

Some ideas: A yellow brick road to follow, numbers on the tables or on the floor, arrows leading parents through the process etc.



AYSO Information Station (#4)

Staffed by board members and includes the following information:

  • SAI Information - An SAI brochure should be provided for each family registering players

  • AYSO Videos

  • Assortments of manuals and training aids

  • AYSO publication - Soccer Now, ABCs of AYSO etc.

  • Local vendor information

  • AYSO Region Information

  • Map of region

  • Field locations

  • Regional calendar - clinics, meeting etc.

  • Regional guidelines regarding practice locations, duration and times

  • Section guidelines

  • Sportsmanship guidelines



Coach Recruiting Station (#5)

Staffed by coach administrator and staff to provide the following information:

  • Inform parents that AYSO is an all-volunteer organization

  • Recruit coaching prospects and provide clinic information



Referee Recruiting Station (#6)

Staffed by referee administrator and staff to provide the following information:

  • Inform parents that AYSO is an all-volunteer organization

  • Recruit referee prospects

  • Encourage referees regarding advancement

  • Encourage non-referee candidates to attend clinics to learn how they will enjoy the game of soccer and assist their child. They might become a referee next year.



Other Volunteer Station (#7)

Staffed by board members and other key volunteers to encourage people to volunteer for other AYSO positions in the region such as:

  • Team parents

  • Field volunteers

  • Equipment volunteers

  • Photo day volunteers



Forms Check-Out Station (#8)

Staffed by board members and key volunteers to validate registration information of volunteers here. (Pre-printed and new recruits)

This is an ideal station to recruit volunteers

Review forms and applications for completeness.

Verify information such as: birth dates, required signature, etc.

If the parent/guardian has volunteered to help, he/she may proceed to cashier station (#9).

If a parent or guardian has not volunteered to help, direct the parent/guardian to Stations #5, 6, & 7 to obtain information and region volunteer needs.



Cashier Station (mandatory) (#9)

Staffed by Treasurer and volunteer staff to perform the following:

  • Accepts forms only after approval by forms check-out station #4

  • Review forms

  • Collect payments

  • Provide security at this station



Fund Raising Station (#10)

Staffed by board members and volunteers for sales of merchandise (purchased/on consignment), soccer balls, shin guards, shoes, etc. and prior year's unused uniforms



Other Information Station (#11)

Staffed by board members and includes the following:

  • SAI Information - An SAI brochure should be provided for each family registering players

  • AYSO Videos

  • Assortments of manuals and training aids

  • AYSO publication - Soccer Now, ABC's of AYSO etc.

Pricing Schedule

Pre-printed Registration Forms

Players: 8¢ per player name

Volunteers: 0¢ per volunteer name

Listings: $10 set-up fee plus:

Players: 1¢ per player name

Volunteers: 1¢ per volunteer name

Labels: $10 set-up fee plus:

Players: 2¢ per player name

Volunteers: 2¢ per volunteer name

ID Cards: $6 set-up fee plus:

Players: 15¢ per player

Minimum order = one team - 20% discount if you run entire region

Volunteers 10¢ per volunteer- must run for all volunteers in region



Forms Used

There are several forms you will require as the region's registrar:

  • Player Registration Form

  • Volunteer Application Form

  • Registration Order Form

  • Registration Control

  • National Fee Credit Request Form

  • Change Order Form.

Player and Volunteer Record Maintenance

Minor changes - Complete a Change Order Form

Major changes



Prepare a listing (volunteer or player, as applicable).

Mark a "C" with a RED pen to the left of the ID# on the listing.

Draw a line only through the information to be changed.

Print the correct information above it.

Deletions (see National Refund Policy if player is being removed)

Mark "D" with a BLUE pen (to the left of the ID#) on the listing.

Circle with a BLUE pen the ID# to be deleted.

On the first page of the listing, note with a BLUE pen the total number of deletions requested.

If less than 20 players are being removed, a National Fee Credit Request form may be used and mailed to the National Office.

Use a separate form for players and volunteers.



National Refund Policy

AYSO National will credit a region for the national player registration fee for the current membership year under the following conditions:

  • The region's request includes the player's name, his/her National ID number,

  • A statement signed by the regional commissioner stating that the player(s) never practiced or played during the membership year in which the request is made.

  • The request is made before the end of the current membership year.

  • The refund request is made using the Process Dropped Players function under the Treasurer menu or eAYSO.

This refund policy applies only to the national player registration fee. Regional refund policies for the balance of the regional registration fee may vary. (Ref Std. Regional Guidelines Article 7 Para. 2 Registration Fees; Refunds
